These terms of conditions apply only to customers using the services of PT KARANG TRAVEL INDONESIA. Under these conditions, the company that provides the services will be defined as “Karang Travel”.
The party that uses the services of Karang Travel will be defined as “the client”.
“The tour” will be used as the definition for all tours that Karang Travel offers to clients, such as stays in hotels, cruises, transports or any other tourist activities.
The terms of the conditions come into force after the client has met his financial requirements.
The customer can also find the link to the terms and conditions on the invoice.
Individual programs
Karang Travel requires a deposit to confirm trip services for any type of reservations the client wants to make. Once Karang Travel services are confirmed, we will send you a detailed invoice reflecting the deposit requirements. The deposit must be made within 7 days from the day the invoice was sent.
Final payment must be made no later than 30 days before the start of the trip, or sooner if specified on the invoice, in case it is a requirement of Karang Travel’s partners.
A delay in payment of the deposit or final payment may result in cancellation of the trip or additional charges.
Itinerary planning and price changes
Karang Travel always tries to prepare unique tours for clients. Once you have received the information and the itinerary price, we will need the deposit to confirm the reservation of all services. The deposit must be paid within 7 days from the day the invoice is sent to the client.
The deposit amount that Karang Travel requires from the client may be different. It depends on the tour and all the services included.
As a general rule, the deposit will be 30% of the total trip and the final payment 70%. These percentages may vary if any of the contracted parties require a larger deposit or different payments.
When the total invoice is less than 200 euros, only a single payment will be allowed to reserve, and this must be paid 7 days from the day the reservation is made.
All payments for airline tickets must be made in full before they are issued.
The customer must bear in mind that airline ticket prices are subject to change without prior notice prior to booking and issuance.
All prices are exempt from insurance, additional luggage, visa and vaccination costs, medical tests, staff costs (laundry, telephone, drinks, room service, tips, etc.) and any other costs that are not declared as included in the price in the tour description.
Tour prices are subject to change at any time and without prior notice to clients, unless the tour has already been confirmed by Karang Travel to the client. The reason for this price change has to be related to a change in transportation costs, fuel prices, changes made by the Government in taxes on national parks and sudden changes in currency value.
Karang Travel recommends all of its clients to take out travel insurance that includes cancellation insurance.
2.1.1 Cancellation and refund
Each request to cancel a service must be announced by email to info@karang.travel. The refund will be calculated from the moment Karang Travel receives the first notification from the client (the client can submit the cancellation again, when there is no response from Karang Travel within 24 hours).
Some of Karang Travel suppliers may take up to 3 months to refund payment, depending on the service the customer is cancelling. Karang Travel will only refund the client once the refund is received from the supplier.
2.1.2 Cancellations of tours, dive boats, cruise ships and dive centers
In the event that tour cancellation is made prior to departure, Karang Travel is always obliged to adhere to the cancellation policies of the hotels, dive operators, cruise companies, tour operators and airlines, in which some parties may apply non-refundable deposit type conditions.
The cancellation fee will be charged by Karang Travel as follows:
2.1.2.1 When the client cancels the tour 30 days (or more) before departure, the client will receive a penalty of 100 euros/person, for Karang Travel administration fees, plus the cancellation costs for each service that was contracted/reserved.
2.1.2.2 When the client cancels the tour in between 11 and 30 days before departure, the client will receive a penalty of 100 euros/person or 20% of the entire land portion (whichever is higher), plus the cancellation costs for each service that was contracted/reserved
2.1.2.3 When the client cancels the reservation 0 to 10 days before the start date of the trip, a penalty of 100% of the reservation amount will be charged.
2.1.2.4 Clients may change the dates of their reservation up to 5 days before the start date of the trip without any additional cost from Karang Travel. However, new dates are subject to availability and any extra costs charged by Karang Travel’s suppliers, including hotels and airlines, will be borne by customers.
2.1.2.5 Refunds will be in the same currency in which Karang Travel received the payment, and any bank fees or other costs incurred in the refund will be borne by the client.
Karang Travel will contact the client as soon as possible, if there is a cancellation or substantial difference in the tour booked by the client. These modifications or differences can be made after the conclusion of the contract, if the consideration of the modification or differences is not made in bad faith.
If the client does not accept these modifications, Karang Travel will offer the client another tour of the same value (if possible). When the client chooses to take a lower value tour,Karang Travel will pay the difference to the client. When the client chooses to take a higher value tour, the client will pay the difference to Karang Travel. When the client is not willing to choose another tour, the tour will be canceled and the client will receive his deposit or payment made.
Karang Travel may cancel the tour before the tour begins, due to Force Majeure such as; terrorism, natural disasters, epidemics, political instability or other external events in which it is not feasible for Karang Travel or the operators to operate the planned itinerary. Karang Travel is not responsible for any damages or expenses that the client receives due to the cancellation of the tour, such as: visa, vaccinations, travel insurance or non-refundable flights (such as those indicated in Reference 2.1.2).
In the event of cancellation by the tour provider, Karang Travel will refund the client only the amounts effectively received back from the supplier(s). Any banking fees, transfer charges, currency exchange costs, or other financial costs related to the payment or the refund process are non-refundable and will be borne by the client.
If the client is not satisfied with the tour it is necessary to immediately contact Karang Travel, in order to be able to solve the problem as soon as possible. For this, the client will have a 24/7 emergency telephone number and a WhatsApp number.
Karang Travel will not accept claims that were not notified to our staff within 72 hours of the incident. We understand that all our operators, guides and staff (unless there is no coverage due to being in a remote area) will always be able to communicate with us.
If the tour was not carried out as agreed, due to unexpected issues caused by the client, Karang Travel will help and assist the client in a reasonable way. All costs of Karang Travel’s assistance will be charged to the client.
Karang Travel is responsible for a reasonable similarity of the tours described on the website in reality, compared to the customer’s expectations.
Karang Travel is also responsible for the control of external services and operators that are part of the tour.
Karang Travel will book plane, train, boat and boat tickets for the client when necessary or requested. To do this, Karang Travel must always ask for a passport photo to confirm that the names we reserve are consistent with the travel document the client will bring.
Public transport reservation services specific Terms & Conditions
Price quotes: Any cost estimate or quotation provided by Karang Travel to the client remains valid until the reservation is confirmed, unless there are changes in the fare imposed by the airline or booking platform prior to confirmation. In such cases, Karang Travel is committed to notifying the client in advance before finalizing the reservation. Should the client not agree with the amended price, Karang Travel will issue a full refund deducting only bank transfer fees, if apply.
Payments conditions: The client is required to make full payment to Karang Travel prior to the completion of the reservation process and the issuance of the e-ticket or travel document.
Transfer fees and exchange rates: The client shall be responsible for any bank transfer fees, and the exchange rate applied will be approximated to the official rate, deviating by no more than 2%, on the day when Karang Travel provides the quotation.
Payment methods: The client must make payments via bank transfer or WISE, using either a European or Indonesian account as facilitated by Karang Travel.

Cancellation and refund: In case of cancellation with the right of a refund from the airline or booking platform, Karang Travel will refund the client only the amount refunded by the airline or booking platform, after deducting the cancellation fees of 20€. Any bank transfer fees will be borne by the client and administration fees priorly paid to Karang Travel will not be refunded.
Travel Insurance: Karang Travel and the airline do not provide a travel insurance unless specifically requested (if available). It is advisable that all clients have their own travel insurance that covers flights changes and cancellations.
Karang Travel takes no responsibility for flights changes, reschedule, delay, cancellation, baggage loss/damage made by the airline or directly by the customer.
Karang Travel shall not be held responsible for any personal injury, illness or death which may be sustained by reason of, or while engaged on, any travel or transport provided or booked by Karang Travel.
The client must accept the itinerary and that it is possible that some parts of the trip through Indonesia, as a tropical country, may be subject to changes in weather and that due to this there may be changes to the planned program.
The client must understand that Karang Travel is not the owner, nor responsible for the airlines, trains, buses, cars, boats or any other transport provided in the tours, so Karang Travel cannot be responsible for changes or extra expenses due to the cancellations or delay of these services and all these expenses must be borne by the client.
The client will not make any claim to Karang Travel or its guides, staff or any of the tour operators if, due to dangerous conditions that affect a tour at that time, they are forced to cancel or make changes to the itinerary/tour, as long as these changes are properly justified.
The client will not make any claim to Karang Travel if, due to the delay or cancellation of a flight, ferry or other transport service, the client loses any service contracted.
All expenses arising from itinerary changes due to the client’s own choice to change the itinerary must be covered by the client.
Karang Travel will do everything possible for the client’s safety and any luggage, but the client must be the one in control of personal belongings at all times. Karang Travel is not responsible for: loss of personal property, theft, fraud, deception, death or personal injury or any other damages.
The client is informed that, before making a trip to Indonesia, it is essential to ensure that you have the necessary documentation to enter the country. The following disclaimer presents important information and serves as a reminder of the traveler’s responsibility to comply with the necessary requirements.
Travel Documents: It is the sole responsibility of the traveler to possess a valid passport with an expiration date at least 6 months after the duration of the intended stay in Indonesia. Additionally, depending on your nationality, you may be required to obtain a visa or other relevant travel permits prior to your departure.
Visa requirements: Please note that visa requirements vary depending on your nationality and the purpose of your visit, such as tourism, business or employment. It is recommended that you review these warnings before your departure and take the necessary precautions to ensure your safety and well-being during your visit.
Health and vaccination requirements: Certain vaccinations may be required or recommended for travelers entering Indonesia. Consult your healthcare provider or visit a travel health clinic well in advance to determine necessary vaccinations and health precautions for your trip.
Entry and exit requirements: Indonesian authorities may impose additional entry and exit requirements, such as proof of return travel, evidence of sufficient funds, or specific health-related protocols. Please familiarize yourself with these requirements and ensure you comply with them to avoid any inconvenience.
Personal Safety: While in Indonesia, please use caution and comply with local laws, customs and regulations. Please stay up to date on the current security situation in the areas you plan to visit and take appropriate measures to ensure your personal safety and the security of your belongings.
Travel Insurance: It is highly recommended to obtain comprehensive travel insurance that covers medical expenses, trip cancellation or interruption, lost luggage, and other unforeseen circumstances. Review the terms and coverage of your insurance policy to ensure it meets your specific needs.
Laws and cultural traditions: It is strongly recommended that all tourists respect and adhere to local laws and cultural traditions, including those of a religious nature, when visiting Indonesia. This includes appropriate attire, respect for sacred days andceremonies, as well as observance of accepted cultural and social practices. Failure to adhere to these norms may result in offending the local population, possible legal consequences, and an overall negative experience. It is the responsibility of each visitor to properly inform themselves about the norms and customs of the place they are visiting and adjust their behavior accordingly.

When an airline cancels a flight due to a volcanic eruption or other force of nature, a ship cancels due to poor sea conditions, or any other circumstance beyond our control, additional costs sometimes occur.
In these cases, Karang Travels team is accustomed to handling situations of this type and resolving problems as quickly and cheaply as possible. We, as a travel agency and your contact in Indonesia, will act to help you reorganize your trip so that it is as little interrupted as possible (changing hotels, selecting another destination, changing domestic flights, etc.)
In our efforts to help the client in these situations, we will not charge for this help and management service, but we do have to charge for all new expenses that may arise, such as: booking new hotel nights, new transfers or new plane tickets.
We will help request all possible refunds for unused services from suppliers such as hotels and airlines. However, we cannot guarantee at all that those unused parts that have not canceled at their own expense will refund us because it will depend on their policies or how they view the situation. For example, a hotel in a destination not affected by the disaster may not give a refund for the reason that it is operational at that time. Since it is not their responsibility that the client has not shown up, due to his flight being canceled or other reasons beyond the control of the Hotel.
If an airline cancels a flight on its own, we will arrange refunds, although these may be in cash or in the form of a travel voucher, depending on each airline’s policy. In any case, we will always inform you about it.
Our commitment is to make things easy for our clients in the event of incidents as we always do. We try to minimize any negative impact of any unforeseen situation that may affect the trip and manage to make all changes at the lowest possible cost.
Important:
As a booking agent for flights, hotels, tours and other related services, Karang Travel always depends on the terms and conditions of the suppliers.
In case of flight delay or cancellation or due to Force Majeure, Karang Travel will help adjust the trip and minimize the additional charge, however, all additional charges will be the responsibility of the client. (Ref. 2.1.2.1).
